What drives the price

Users
FundMesa and Instrumentl cap users by plan, so a bigger team means a higher plan. Grantable charges no per-seat fees.
How many grants you run
Budget tracking is often limited by plan. FundMesa Starter tracks budgets on up to 3 active awards; Instrumentl includes budget vs actual only on its $999 plan.
A funder database
Searching for new funders is expensive to build and is often bundled into the price. Instrumentl's entry plan is the database. FundMesa sells funder search separately, as a $49-a-month add-on, so you only pay for it if you use it.
AI
AI features usually come with usage limits by plan: Grantable's free plan allows 5 messages a day, and FundMesa's Pro plan has five times Team's allowance for reading documents.
Setup and contracts
Ask about setup fees, minimum terms and price increases at renewal before you sign. FundMesa has no setup fee.

Free options, and what they cost you

  • A spreadsheet costs nothing to start and works for one person with a few grants. It costs staff time instead: it reminds no one, records no history, and breaks when two people edit it. Our free template is a good place to start.
  • Free plans, such as Grantable's, cover AI writing with daily limits, not budgets or reporting.
  • Free public data. Federal opportunities are on Grants.gov at no cost, and many public libraries offer Candid's funder search free on site.
  • Free trials let you test with your own data: FundMesa for 30 days and Instrumentl for 14, both without a credit card.

The cost of not using software

The cost of a missed deadline or a bad charge is real, even if it never shows up on an invoice:

  • Missed reports. A late report strains the relationship with the funder, and some funders hold the next payment until it arrives.
  • Disallowed costs. On federal awards, a cost must be allowable and documented (2 CFR 200.403), salaries charged to an award must be backed by records of the work done (2 CFR 200.430), and payments for unallowable costs must be refunded with interest (2 CFR 200.410).
  • Handoffs. When the grants manager leaves, a tracker kept in one person's files leaves too, and the next person rebuilds it from email.

FundMesa pricing

  • Starter, $129/mo billed annually: 5 users, budgets on up to 3 active awards.
  • Team, $499/mo: 15 users, unlimited awards, QuickBooks Online, reimbursement requests and effort certification.
  • Pro, $999/mo: unlimited users and five times Team's AI document allowance.
  • Find funding add-on, $49/mo ($490 a year on annual plans): funder search, matches and alerts.

Month-to-month prices are about 20% higher. Every plan starts with a 30-day free trial, no credit card.

Frequently asked

How much does grant management software cost?

For a small nonprofit, tools that track deadlines and budgets cost about $130 to $1,000 a month in 2026, billed annually. FundMesa starts at $129 a month. Instrumentl starts at $299 a month, and its budget tracking needs the $999 plan. Grantable, an AI writing tool, has a free plan and paid plans from $50 a month. Prices checked October 25, 2026.

Is there free grant management software?

Not for full post-award tracking. Free options cover parts of the job: a spreadsheet for tracking, Grantable's free plan for AI writing, and Candid's funder search at many public libraries. FundMesa (30 days) and Instrumentl (14 days) offer free trials with no credit card.

Why do some vendors not publish prices?

Tools built for grantmakers and large organizations, such as Submittable and Fluxx, quote each customer separately, usually after a sales call. That means a sales call before you see a number. Tools aimed at small nonprofits more often publish prices.

Monthly or annual billing?

Annual billing is cheaper at all three: about 17% off at FundMesa, about 14% at Instrumentl and 17% at Grantable. Monthly billing costs more but lets you stop after any month.

Is grant management software worth it for a small nonprofit?

It depends on what a missed deadline or a disallowed cost would cost you. With a handful of grants and one person, a spreadsheet is often enough. Once several people share the work, or federal money requires spending to match an approved budget, the software usually costs less than the staff time spent keeping a spreadsheet right.
