Connect FundMesa to your accounting system

For QuickBooks Online, connecting takes a few minutes: an owner signs in to Intuit from FundMesa and picks the company, then maps each grant. For Sage Intacct, Xero, NetSuite and Blackbaud Financial Edge NXT, which are available on request, we scope the connection with you first and give you an honest timeline once we know what it involves, not a promise up front.

No. The QuickBooks Online integration is included with the Team plan and above, and you can try it during the free trial. For other platforms, some require API access on your side as part of your existing accounting contract; we'll confirm what's needed when we scope the connection with you.

Let us know — we add connections based on what customers use. Until then you can log expenses against each grant by hand, and import your grants and funders from a spreadsheet.

No. The connection is read-only and one-way: FundMesa reads expenses and has no code that writes back to your books. You can disconnect any time from FundMesa, which revokes FundMesa's access at Intuit; expenses already imported stay in FundMesa.

For QuickBooks Online: an owner of your FundMesa organization starts the connection and signs in to Intuit as someone allowed to connect apps to your QuickBooks company. If that's a different person, such as your controller, CFO or bookkeeper, sit down together for the few minutes it takes. For other platforms, we'll work out who needs to be involved when we scope the connection.

For QuickBooks Online: you map each grant to the QuickBooks Class, Location, Project or Customer, whichever your bookkeeper already uses for it, Every day FundMesa brings in the expenses tagged with that value as the grant's actuals: purchases, bills, journal entries and vendor credits. Only lines posted to expense accounts count, so a payroll allocation isn't cancelled out by its offsetting entry, and refunds and vendor credits reduce what was spent. Expenses land on the budget line with the matching account number. Settings → QuickBooks can also list spending that has no class or project yet, so your bookkeeper can tag it. An edit made in QuickBooks after an expense is imported isn't copied over; the Check against QuickBooks panel shows the difference. Budgets themselves live in FundMesa. For other platforms, your existing grant-tracking dimension (Project, Fund, or a custom dimension) would play the same role.

Yes. FundMesa connects through your accounting platform's official authorization flow (OAuth for QuickBooks), so we never see or store your accounting password. The access tokens are encrypted by the application before they're stored. FundMesa only reads, although QuickBooks' own permission for connected apps covers the whole accounting file, so it isn't read-only on Intuit's side. Disconnecting in FundMesa revokes the token with Intuit, and you can revoke FundMesa's access from QuickBooks at any time.
